The Spare Mind ring: a dark machined ring with an orange dot sitting in its gap

Custom AI systems for Australian businesses

Give your business a spare mind.

We build AI systems around the way your business actually runs: tenders, quotes, reports, website updates and the admin that eats into every week. Built on Claude, and measured on your own work before you spend more.

What goes into a build

Five layers, built around how your business works.

The Spare Mind ring taken apart into five layers, with the orange dot lifted out of its gap
  1. Skills

How you work, written down once

The way you quote, tender, report and reply, captured once so Claude follows it every time.

  2. Connectors

    Plugged into your tools

Outlook or Gmail, Xero or MYOB, ServiceM8 or simPRO, SharePoint or Google Drive.

  3. Agents

    Jobs it does for you

Assembles the tender response, keeps the website up to date, drafts the quote, writes the monthly report.

  4. Data rules

    Rules it never breaks

What stays private, who sees what, and what a person checks and signs off.

  5. Handover

    Your team runs it

A one-page guide for every automation, a recorded walk-through and a month of support.

The spare mind your business has been missing.

What we build

Systems shaped around your work, not a product off the shelf.

Every business runs its own way, so every system is designed around yours. These are the places we usually start.

  • Tendering and proposals

Tender responses and proposals assembled from your past wins, your capability statements and the tender's own requirements, ready for you to review and sign.

  • Website automation

A website that keeps itself up to date: new projects, posts and updates published on schedule, without a developer.

  • Quoting and estimating

Quotes drafted from your rates, your supplier prices and the job's details, checked before they go out.

  • Reporting

Weekly and monthly reports pulled together from your own systems and written up in your words, with every number checked against its source.

  • Document control and compliance

Safety, quality and compliance paperwork prepared, filed and tracked, so nothing goes out of date.

  • Customer replies and inbox triage

Enquiries sorted, drafted replies waiting for your OK, and nothing left sitting unanswered.

  • Admin and follow-ups

Meeting notes and actions, supplier chasers, invoice reminders and the follow-ups that eat into every week.

  • Your own processes

Whatever your business does its own way. If you do it the same way more than once, we can usually build a system for it.

Start small

Fixed prices. Climb only when the last step has paid for itself.

  • AI Opportunity Call

    Free

A free 30-minute call. We look at how your business runs and name two quick wins before we hang up.

  • AI Opportunity Audit

Your team logs 3 to 5 processes for a week. You get a written roadmap with the hours each change saves and its payback. If it doesn't find at least 5 hours a week of savable work, you don't pay.

  • First Automation Sprint

One working workflow, live in about 3 weeks, measured before and after, with a 30-day fix window.

  • Claude operating-system build

Claude set up across your business and designed around how it runs: your processes written down once, connected to your tools, 3 to 5 automations or agents (tendering, website updates, reporting, quoting or your own processes), data rules and a handover guide.

Every job is quoted at a fixed price, in writing, before work starts; there is no hourly billing.

The audit guarantee

If the AI Opportunity Audit doesn't find at least 5 hours a week of work that can be saved, you don't pay for it.

How we work, step by step

Who we help

Built for businesses that run on repeat paperwork.

Any business of 5 to 100 people can use this. These six are where we usually start, because the same documents come round every week.

  • Builders and fit-out contractors

Tenders, quotes, variations, site diaries and the paperwork that follows every job.

  • Electrical contractors

Quotes, compliance certificates, job notes and chasing approvals and payments.

  • Plumbing and mechanical contractors

Service reports, maintenance schedules, quotes and customer follow-ups.

  • Fabricators and small manufacturers

Estimates from drawings, purchase orders, quality records and delivery updates.

  • Commercial and industrial property managers

Rent reviews, outgoings reconciliations, lease expiries and options, maintenance and fire safety compliance, and owner reports.

  • Commercial and industrial leasing agents

Enquiry follow-ups, inspection bookings, lease proposals, heads of agreement and listings for vacant offices, shops and warehouses.

How it works

Measure first. Build second. Prove it with the same measurement.

  • Measure

Your team logs how long the everyday jobs really take, for a week. No estimates, no guesses.

  • Build

We build in your own accounts and test against your real work, so it fits how you already operate.

  • Prove

Thirty days later the same people log the same jobs. The difference is the result, and it is yours to keep.

Question 1 of 10

How much of a typical week goes on work you do the same way every time: quotes, reports, tender documents, replies, paperwork?

Proof

Already built, and running every day.

One person, working around a full-time job, runs a media business through a production line of Claude systems: research, scripts, packaging, a website that publishes itself, and the checks in between. Making one video took 31 hours in May. By September, with every system in place, it took just under 5.

Questions

How much does an AI consultant cost in Perth?

The AI Opportunity Call is free. Everything after it, from the AI Opportunity Audit to a full Claude operating-system build, is quoted at a fixed price, in writing, before any work starts. There is no hourly billing.

Is our data used to train AI models?

No. Every system runs on Claude under Anthropic's business terms, which don't use your prompts, files or results to train models unless you choose to opt in. We never use a free or personal AI account for client work, because those plans can allow training.

Where is our data stored?

In your own Claude account, which you hold in your business's name. On Claude's standard business plans, your data is stored in the United States. If it has to stay in Australia, for example health records or government work, we build on Claude through Amazon Web Services, which keeps the processing in its Sydney and Melbourne regions. That route suits custom systems rather than the everyday Claude apps, and we'll tell you which fits on the first call.

Who can see our information?

Your team, and only the people you choose. You own the accounts and hold the admin rights. We work inside them with the access you give us for the job, and you can remove that access at any time.

Will you keep what we share confidential?

Yes. What you show us about your business, your clients and your pricing is used only to build your system. It is never shared, and never reused for anyone else. We're happy to sign your non-disclosure agreement before you share anything, or to provide ours.
